Madison Arm Resort Terms and Policies

Welcome to Madison Arm Resort. These terms and conditions outline the rules and regulations for the use of Madison Arm Resort’s website, located at MadisonArmResort.com, and for your stay at our resort. By accessing this website and/or booking a stay at Madison Arm Resort, you agree to comply with and be bound by these terms and conditions. If you do not agree with any part of these terms, please do not use our website or services.

1. General Terms and Conditions

1.1. Introduction

Madison Arm Resort is a privately-owned company on federal land, and by accessing this website or staying at our resort, you agree to comply with and be bound by the following terms and conditions. These terms apply to all visitors, users, and others who access or use our services.

1.2. Reservations and Payments

  • All reservations require a non-refundable deposit equal to the first night’s stay. Credit for future reservation may be extended at the owner’s discretion.
  • Full payment is required prior to or upon arrival.
  • Accepted payment methods include credit/debit cards, in state (Montana) personal checks, and cash.
  • Please be advised that if you are trying to book a multiple night stay in different individual campsites, you may be required to check out by 11:00 AM on your individual departure dates and will not be allowed to check in to your next site until it is available (Check-in is 1pm for campsites).
  • All reservation changes are subject to our availability. There is no charge to make reservation changes.
  • Our WIFI service is available throughout our RV Park and our Main Office Building is a WIFI hot spot.  However, we cannot guarantee WI-FI reception at any Site or Cabin.

1.3. Cancellations and Refunds

  • Deposits are non-refundable. However, if you cancel at least 24 hours before your check in date and time (11am), you will receive a credit on your account for the deposit amount to be used for a future reservation. Credit expires 1 year from the original reservation date.
  • Cancellations made more than 14 days before the scheduled arrival date will receive a full refund, minus a processing fee ($25).
  • Cancellations made less than 14 days before the scheduled arrival date are non-refundable.
  • No refunds will be issued for early departures.
  • No Show/No Contact: If you fail to arrive on your scheduled reservation date and do not contact us, your deposit will be forfeited. If you have multiple nights reserved, you will have until 10:00 AM the next morning to notify us of your intentions, or your remaining reservation will be cancelled.

1.4. Check-In/Check-Out

CABINS & RV RENTAL UNITS

  • Check-in time is from 3:00 PM. Early check-in may be available depending on current occupancy levels but can not be guaranteed. Late check-ins will find their details attached to the office door and should check-in with the office in the next morning.
  • Check-out time is by 10:00 AM.
  • Late check-out may result in additional charges and must be approved by management.

CAMPSITES

  • Check-in time is from 1:00 PM. Early check-in may be available depending on current occupancy levels but can not be guaranteed. Late check-ins will find their details attached to the office door and should check-in with the office in the next morning.
  • Check-out time is by 11:00 AM.
  • Late check-out may result in additional charges and must be approved by management.

 

2. General Campground Rules

(Any violation of these rules may result in expulsion without refund and/or a fine from the Department of Forestry. $50 cleaning fee applies to those who do not clean up after their pets, or who leave food out while campsite is unattended.)

2.1. Campsite Usage

  • Camping is only allowed in designated campsites.
  • Only one dwelling per site unless otherwise noted or granted by management. Maximum of 6 persons per site.

2.2. Food and Waste Management

  • All food materials and cosmetics must be placed behind a locked door when the site is left unattended and overnight. This includes: all coolers, pet food/bowls, garbage/waste, grills, etc.

2.3. Children

  • Children under the age of 12 must be supervised at all times.
  • Children are not allowed on the marina docks unless they are wearing a life jacket.

2.4. Fishing

  • No fishing from marina docks.
  • All fish cleaning must be done at our designated fish cleaning station. Please put all entrails in the provided plastic bag and deposit in the chest freezer. Clean the fish cleaning station well after use.

2.5. Garbage Disposal

  • Garbage must be disposed of in double-knotted, plastic garbage bags. Please see a camp host for plastic bags if you have none.
  • Do not put trash in the fire pits.
  • Place all trash in the bear-proof dumpsters.

2.6. Site Restrictions

  • For water/power & full hook-up sites only: absolutely no tent stakes or anything else stuck in the ground. This is an older campground and the water and electrical lines run shallow in the ground.
  • No ropes, lights, clotheslines, trash bags, or anything else hanging from the trees. Clotheslines are provided between the office and bathrooms.

2.7. Pets

  • Pets must remain on a leash at all times.
  • Pets are not allowed in the swimming area or on the boat docks (except to board watercraft).
  • Pets are not allowed to be unattended in RVs or vehicles if you leave the resort property.
  • You must clean up after your pet(s).
  • Maximum of 2 pets per site. No pets in cabins or cottages.
  • If your pet disturbs or threatens another guest or employee of the RV park, you may be asked to leave.
  • The owner is responsible for any damage caused by the pet.
  • There is a $50 non-refundable pet fee for RV rentals.
  • Failure to cleanup after your pet may incur a $50 fee.

2.8. Other Camp Policies

  • Generators may only be used in overflow sites. They may not be used during quiet hours, or if they are directly bothering a neighbor.
  • Fireworks are strictly prohibited on our property.
  • Drive slowly! Speed limit is 5 mph for all vehicles, including bicycles and electric scooters, etc. Children are at play.
  • Your RV sewer connection must be sealed (sewer elbow).
  • In case of a sewer spill, please notify the office ASAP for assistance. Failure to notify may result in a clean-up fee.
  • Please respect other campers by avoiding walking through their campsites.
  • Do not place BBQ grills directly on picnic tables.
  • This is bear country, so please keep all food and coolers inside, and do not leave trash outside.
  • Restrooms and showers are closed daily for cleaning, but we have 2 bathroom locations for your convenience.
  • Drones are not allowed in the park.
  • Freezing temperatures can occur in any season, so be cautious of icy surfaces. To prevent faucets from freezing, disconnect your water hose each night when temperatures drop. Failure to do so may result in charges for any damages.
  • In case of emergency, call 911.

3. Privacy Policy

3.1. Information Collection

We collect information from you when you register on our site, make a reservation, subscribe to our newsletter, or fill out a form. When booking or registering on our site, as appropriate, you may be asked to enter your name, email address, mailing address, phone number, or credit card information.

3.2. Use of Information

Any of the information we collect from you may be used in one of the following ways:

  • To personalize your experience
  • To improve our website
  • To improve customer service
  • To process transactions
  • To send periodic emails

3.3. Protection of Information

We implement a variety of security measures to maintain the safety of your personal information. We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology.

3.4. Cookies

Our website uses cookies to enhance your experience. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information.

3.5. Third-Party Disclosure

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.

3.6. Changes to Our Privacy Policy

If we decide to change our privacy policy, we will post those changes on this page.
